Not a verdict — a decision framework. Where Looker Studio genuinely beats Tableau and Power BI, and where choosing it would be a mistake.

The right tool depends on your data, your team and your budget — not on which is most popular
Every comparison of these three tools online seems to have already decided the answer before it starts. This one has not, because the honest answer is that all three are good and they are good at different things.
We build in all three. Here is how we actually decide.
| Looker Studio | Power BI | Tableau | |
|---|---|---|---|
| Licence cost | Free (Pro tier optional) | Low per user/month | High per user/year |
| Cost to add viewers | Free, unlimited | Licence per viewer | Licence per viewer |
| Where you build | Browser | Windows desktop app | Desktop app |
| Data modelling | Basic blending, max 5 sources | Excellent star schema + DAX | Very good |
| Calculation power | Limited | Excellent (DAX) | Very good |
| Visual analytics depth | Adequate | Very good | Best in class |
| Large datasets | Depends entirely on source | Strong (import mode) | Strong |
| External sharing | Trivial — send a link | Needs licence or embedding | Needs licence or embedding |
| Learning curve | Low | Medium | Medium to high |
| Offline authoring | No | Yes | Yes |
Not "when you cannot afford better" — when it is actually the correct decision.
Sheets, Analytics, Ads, Search Console, BigQuery. The connectors are native and the whole thing takes minutes rather than a connection project.
Client dashboards, vendor scorecards, investor reporting, franchise performance. Unlimited free viewers is not a small advantage here — it is often decisive.
Sales by region, campaign performance, service tickets, monthly operations. If nobody needs to slice fifteen dimensions against each other, the modelling gap simply never bites.
Mac, iPad, Android, a browser in a shared office. No install, no platform restriction.
Build the dashboard for free, see whether management actually uses it, then decide whether a paid tool is justified. We recommend this often, and roughly half the time the free tool turns out to be sufficient permanently.
The cost of an additional viewer is zero. In a business where forty people would benefit from seeing a dashboard but only four can be licensed, the free tool that everyone can open beats the sophisticated tool that four people log into.
Answer these in order and stop at the first clear yes:
Roughly 70% of the effort in any BI project is data cleaning, structuring and agreeing what the numbers mean. That work is identical regardless of tool. Choosing the "wrong" visualisation tool costs you a few days of rebuild. Choosing to skip the data work costs you the project.
For a business in Jamshedpur, Ranchi or anywhere in Jharkhand doing between Rs 5 crore and Rs 100 crore, the realistic picture:
| Your situation | Our usual recommendation |
|---|---|
| Data in Excel and Google Sheets, tight budget, many viewers | Looker Studio |
| Tally or ERP as the source, Microsoft 365 in use | Power BI |
| Manufacturing with multi-table production and inventory logic | Power BI |
| Marketing, e-commerce or agency reporting | Looker Studio |
| Client-facing or franchise dashboards | Looker Studio |
| Dedicated analyst team doing deep visual exploration | Tableau |
Tableau appears once in that table for a reason. It is an excellent product, but at Indian SMB scale the licence cost rarely returns its value against Power BI.
Neither is universally better. Looker Studio wins on cost, browser access and easy external sharing, which suits small and mid-sized businesses with straightforward reporting needs. Power BI wins on data modelling, calculation power, large-dataset performance and enterprise governance. If your reporting is summary-level from a few clean sources, Looker Studio is often enough; if you need complex logic across many tables, choose Power BI.
Cost and distribution. Tableau licences typically run to tens of thousands of rupees per user per year, while Looker Studio is free with unlimited viewers. Tableau offers superior visual analytics and exploratory capability, but for a business that mainly needs recurring operational dashboards shared widely, that capability often goes unused while the licence cost does not.
Yes, substantially, for most organisations. Power BI Pro is priced per user per month at a fraction of a comparable Tableau Creator licence, and Power BI Desktop is free for authoring. Tableau's pricing is generally justified only where its advanced visual analysis is genuinely being used.
Yes, and it is a reasonable strategy. The data preparation work — cleaning, structuring and defining KPIs — carries over completely, because it is the valuable part and it is tool-independent. What you rebuild is the visual layer, which is usually a few days of work, not a restart.
For most small businesses in India, Looker Studio or Power BI. Start with Looker Studio if your data lives in Google Sheets or Google services, your budget is tight, and you need to share reports widely including outside the company. Choose Power BI if you are already on Microsoft 365, your data comes from an ERP or SQL database, or you need genuine data modelling. Tableau is rarely the right first choice at this size.
We work across all three tools, which means we have no incentive to push you toward one. We will look at your data and tell you which actually fits.
We are a Jamshedpur-based data analytics agency led by a Microsoft Certified Data Analyst. We don't hand over a one-off report and disappear — we build the system, automate it, document it and train your team to run it.
We work with manufacturers, retailers, hospitals, schools, logistics firms and service businesses in Jamshedpur, Ranchi, Bokaro, Dhanbad and across Jharkhand, Bihar and pan-India — remotely or on-site.
We don't just create reports — we build systems that drive decisions.
Free consultation, no commitment. Tell us what you're struggling with and we'll tell you honestly whether it's worth automating.
